This article explains why OnlineCertifiedMail requires you to upload your letter as a PDF file before it can be printed and mailed. It also highlights a few technical reasons behind that requirement.

Why Only PDF Files Are Accepted

When you upload a document to OnlineCertifiedMail, the system prints and mails exactly what you provide. To ensure the printed output looks the same as your original, OnlineCertifiedMail requires the document in PDF format.

Other file types can render differently on different computers, which could lead to unexpected formatting changes.


Benefits of Using PDF

PDF files are required because they:

  • Preserve formatting reliably: Fonts, spacing, and layout stay exactly as intended when printed.
  • Are more secure: PDFs are harder to alter compared to editable formats like Word documents.

These benefits help ensure your certified mail letters are printed accurately and consistently.


Tips Before Uploading Your PDF

  • Make sure there are no security restrictions (e.g., passwords or disabled printing) on your PDF — otherwise the upload may be blocked.
  • Avoid including electronic signatures or security features that could prevent uploading.
  • Most modern word processors allow you to Save or Export a document to PDF — if yours doesn’t, you can use free third-party PDF creators.

Note: We do not support the sending of live payments, such as checks or money orders, even in PDF form.
