This article explains how to include photos in your certified mail letter when using OnlineCertifiedMail. It covers acceptable file formats and how to properly prepare your photos for mailing.

Accepted File Format for Photos

OnlineCertifiedMail does not accept image files (such as JPG or PNG) by themselves.

To include photos in your mailing:

  • Save the image a PDF document itself, or
  • Insert the image into a document to be saved as a PDF file.
  • The PDF file is then uploaded for mailing.

Only PDF files are accepted by the system.


How to Include Photos in Your Letter

You may be able to save your image a PDF automatically. If so, you can simply upload that file when creating your job.

If you need to add photos to a document:

  1. Open a word processing program (such as Microsoft Word or a similar application).
  2. Insert your photo(s) into the document.
  3. Adjust the size and placement as needed.
  4. Save or export the document as a PDF file.
  5. Upload the PDF during the mailing process.

All content inside the PDF — including text and images — will be printed and mailed exactly as submitted.


Important Formatting Tips

  • Make sure your photos are clear and high resolution before uploading them.
  • If adding it to a document, check spacing and page layout before saving as a PDF.
  • Review the proof carefully before submitting payment.

OnlineCertifiedMail prints exactly what you upload, so it is important to confirm that your photos appear correctly in the recipient proof(s) before completing your order.
